How receivables and payables work with us

Receivables are the invoices you send and the money you're owed. Payables are the bills you receive and the money you owe. Both need recording as they happen, so you can see who owes you, what's coming due, and what your cash looks like next month.

We handle the recording and the paperwork. For invoices, that means recording the ones you send, or creating and sending them for you. For bills, it means recording them as you forward them, and, if you like, scheduling payment through Plooto. You stay in control of the money: collecting payment stays between you and your customers, and nothing is paid until you approve it.

The details

Invoices: three ways to work

If you already create and send invoices in QuickBooks Online or Xero, there's nothing extra to pay: we record your customers' payments as part of your bookkeeping.

If you invoice somewhere else, like a job-management app or a spreadsheet, send us copies and we record each one in your software. If you'd rather not invoice at all, send us your billable hours or items on a set day and we create and send the invoices for you. Both cost the same.

We don't chase late payments or contact your customers about money they owe. You'll always know exactly who's overdue, and collecting stays with you.

Bills: with or without Plooto

Every bill starts the same way: it's forwarded to your Tallyforth email address, and we record it in your software against the right supplier and account.

Without Plooto, you pay your bills yourself and we keep the records current. With Plooto, we also schedule each payment, you approve it, and Plooto sends it by bank transfer. Its subscription and bank payment fees are built into your price. Paying a bill by credit card is optional, and Plooto adds 2.9% (3.2% for American Express).

With a bookkeeping plan, or on its own

Most clients add receivables and payables to a monthly bookkeeping plan, where it sits alongside everything else and their QuickBooks Online or Xero subscription is included.

It's also available on its own. We work inside your existing QuickBooks Online or Xero file, which you keep paying for, there's no bookkeeping minimum, and one-time setup costs the same as your first month.

How pricing works

Invoices and bills are each priced by how many we handle in a month, in tiers up to 80 a month, with a small charge for each one beyond that. Recording copies and creating invoices cost the same.

When bills are paid through Plooto, its fees are added to the same line, so you never get a separate bill for them. Plans have a 3-month minimum commitment.

Common questions

Can I get receivables and payables help without bookkeeping?

Yes. It's available on its own. We work in your existing QuickBooks Online or Xero, which you keep paying for, and there's no bookkeeping minimum. If you add monthly bookkeeping later, your software subscription becomes part of your plan.

Will you contact my customers about late payments?

No. We keep your receivables current so you know exactly who's overdue, but collecting payment stays between you and your customers.

Who approves bill payments?

You do, every time. We record bills and schedule payments in Plooto, but nothing goes out until you approve it, and we never hold signing authority on your accounts.

Do I have to use Plooto?

No. If you'd rather pay bills yourself, we'll record them and keep your payables current. Plooto is the only bill payment platform we offer, so every client who wants payments handled follows the same process.

How do I send bills and invoice details?
