Bookkeeping for Shopify and online product brands

A payout is not a sale. We match every Shopify, Stripe and Square payout to the bank and to the orders behind it, so your books show real sales, fees and costs.

Why online store books are hard to read

Your platform pays you in batches. Each payout is sales, minus fees, minus refunds, minus whatever else the platform took out. The bank shows only the lump sum.

If that lump is recorded as income, sales look lower than they were and fees disappear. We break each payout back into its parts, so the books show what you sold and what it cost to sell it.

What makes these books different

Payouts against the bank

Shopify, Stripe and Square each pay out on their own schedule. We reconcile every one against the bank.

Platform fees

Fees recorded as expenses and sales recorded in full, so neither is understated.

Inventory

Stock bought, held and sold, recorded so the cost of what you sold is visible.

Lots of small orders

Hundreds of orders a month are tedious, not hard. We handle them each month, so they do not pile up.

How we set up your books

  1. Payouts matched to the bank

Each Shopify, Stripe or Square payout tied to the deposit it produced.

  2. Fees and refunds recorded apart

Platform and processing fees, and refunds, shown as their own lines instead of hidden inside a net amount.

  3. Inventory and cost of goods

Stock purchases recorded so you can see what your products cost.

  4. Sales tax filing set up from how you sell

Your GST and PST filing set up from the way your store takes orders.

Compliance we keep on top of

GST and PST returns

Your filings prepared from the books each period. Sales tax on online orders depends on where you and your customers are. For the rules that apply to you, ask CRA, BC's Ministry of Finance or your CPA.

Payroll for your first hires

Source deductions, ROEs and T4s handled when someone joins the payroll.

Year-end handoff

We prepare your year-end records. Corporate tax returns are prepared and filed by a licensed CPA.

Common questions

Which platforms do you work with?

We work from the reports and payout records that Shopify, Stripe, Square, Amazon and most other platforms produce, together with your bank. If a platform can export it, we can reconcile it.

How do you treat platform fees?

Sales are recorded in full, with fees and refunds recorded on their own lines. That way neither is hidden inside the payout.

Can you tell me what sales tax I should charge?

We set up your filing from how you sell and prepare your returns. We do not give tax advice. For what applies to your store, ask CRA, BC's Ministry of Finance or your CPA.
